September 13, 2007

With a quorum present, Susan Fugate, President, called the meeting to order at 3:08 P.M. at the University of Oklahoma College of Pharmacy in Oklahoma City, OK.

Guest Payment Policy - Revise (vote pass 4/4)
. Darrell concerned about policy - already difficult getting members to join OSHP in Tulsa and policy may deter potential members
. Susan concerned we are giving everyone the benefits of membership without requiring active membership - Policy was started to protect membership benefits and reserve for those who are active members. How do we handle chronic guests at meetings?
. Sign-in Sheets - separate member and non-member
. Amy can send non-member a thank you letter with a membership packet, put email request on guest lists, visitor card (complete it with address and email)
. Consider announcing guests at meetings
. Handle recurring guest problems on individual basis
. Darrell - should stress that 1st time guests free - put on attendance record, stress RSVPs
. Revise guest payment policy - vote (pass - 4/4)
. Involve Amy with membership communication i.e. Amy to email out district meeting announcements to current membership
. New members welcome to attend a meeting without fee and would be expected to join OSHP if attending subsequent meetings
. Members are encouraged to invite guests to OSHP meetings. Members must RSVP for the guest and guests will be expected to join OSHP if attending subsequent meetings.

. Patty completed service with OSHP 8/26/07
. Amy Williams assumed services 8/26/07 - contract signed and in place - waiting for Wiley's signature and copies will be sent out

. Policy reviewed for OSHP to co-sponsor students attendance to ASHP clinical skills competition at Mid-year - monetary support in place

. Support Pizza lunch for students
. Nancy Williams requests that we consider supporting an award for 2nd and 3rd place students for student chapters' clinical skills competition
. Possible ideas - monetary award, mortar and pestle, book gift certificate
. Decision of Board - will consider future support pending upcoming budget review, but not at this time (vote 4/4)
. ASHP presidential officer retreat
. Susan and Lesley plan to attend November 10-11 in Atlanta, GA
. Can list topics of interest for discussion on registration form - request for ideas (student support)

OLD BUSINESS Fall meeting update - Kimi Vesta

. 7 grants denied, $5,000 grant request outstanding, idea to have wholesaler to sponsor meal. Kimi contacted McKesson rep - waiting for response - will follow-up, anyone have contacts for wholesalers who could sponsor lunch or breakfast, Susan will contact Cardinal Health.
. Potential to offer vendor booth in return?
. Winter - for CE signs cannot be in educational area
. No vendor showcase in Fall meeting - could indicate to Vendor that committee could put forth a request to board for a decreased fee for vendor showcase in Annual Meeting. Darrell will contact reps in Tulsa area for funding for help with meals. Other ideas: AmeriSource-Bergan, Owen Healthcare, Morris & Dickson
. Site for meeting needs state tax-exempt letter - Yvette talked to Wiley - he has never pushed for tax-exempt
. Current registration for Fall Meeting - 37
. Kimi can send out registration reminders
. She will send a few reminders to membership reminding of early registration deadline
. Kimi has tentative expense sheet for review
. Packet contents - white folders in storage building, Sandy Warner will have CE information, agenda from flyer, evaluation forms, handouts, no specific OSHP documents at this time,
. Debra wants to put the flyer for membership drive in Fall Meeting Packet
. Yvette wants to put flyer for Oklahoma Reception
. Deadline for packet Contents - Sept 24
. Day of activities - Amy will not be there for registration for the meeting due to childcare, Sandy Warner will help make sure people get packets, someone will need to be assigned at registration table to help with collection of registration fees (Yvette offered to be there for help).
. Transportation of speakers to airport - maybe a resident could help, consider volunteer help
. Maybe have person who organized talk introduce speaker - whoever developed the topic idea and coordinated the speaker's presence at the meeting will introduce the speaker
. Traveling speakers - evening meal re-imbursement will be included in travel expenses - can write 2 checks - 1 for honorarium and 1 for expenses (with receipts)

Annual Meeting Report - Winter Gibbs

. Will start working on grants early
. Potential Date - April 17-18, 2008
. Potential Location - Moore-Norman Technology Center

. Center room and 4 side rooms
. AV equipment
. Price for entire day is $900 for entire room and gives after 5pm access for vendor showcase
. Require ½ down deposit for reservation

. $29.00 per person
. $0.85 extra for soda
. Total ~ $50.00 per person including room
. Other options: hospitals - Normans educational facilities are not available on tentative dates, Susan will check with Baptist , Mercy has been used in past (may be charging now)

. Committee will follow-up on other possibilities and present final request to Board

Membership Committee - Debra Stevens

. Drafting letter for membership renewal - will go out October 1
. Membership Drive Flyer (Discount)
. Existing member gets a new member to join - both get ½ price membership - will put copy in membership renewal packets
. Deadline for Membership Discount - December 31
. Will work with Amy on logistics to ensure clear directions for getting discounts
. Membership renewal data form, discount flyer, self-addressed, stamped envelop
. Will complete flyer and send out for approval
. Will give final flyer to Amy Williams to send out in renewal letters
. Payments must be mailed in together for this limited offer, pay-pal payments will not be accepted
. October - will make push to institutions - Pharmacy Month
. Groups of 2 will visit institutions
. Incentives - treats, can get cookies at wholesale to distribute (less than $2.00 per dozen)
